Users

Access to the Avelon system is only possible with a personal user account. Access rights are controlled indirectly via the user role and the user group.

Create a new user account

To set up a new user account:

  1. In the user menu, click on Users.

  2. Click on the Users tab at the top in the action bar. On the left side you can see all existing users.

  3. Click Add at the top of the left sidebar to create a new user account.

  4. Fill in the form that is shown. The following fields are required:

    • Last name

    • Username / email address

    • Password

    • User role

    • User groups

  5. Click on Save at the top right to create the user account.

It is important that the user has access to at least one group in the group structure. Consequently, make sure that the user groups assigned in the User Groups section are configured correctly.

Verify email address and mobile number

After creating a user account, the user has to validate the email address and mobile number (if applicable). This will ensure that users use valid contact details, and that they consent to receive messages from the system. An email will be sent to the given email address, and the user needs to click on the verification link to confirm the email address. Similarly, when a mobile number is provided, a text message will be sent with a six-digit code. In order to confirm the code, the user needs to click on the Warning icon next to the mobile number and enter the six-digit code in the popup.

Changing an email address or mobile number will require the user to re-validate it as described above.

You can also resend the verification email or text message by clicking on the Warning icon and then on Send Verification Email or Send Verification Text, respectively.

Warning

On Avelon Cloud, only verified email addresses and mobile numbers will be able to receive alarm notifications or newsletters.

Accept the terms of use

After creating a user account, the user must log in and accept the terms of use once to unlock certain features of the Avelon ecosystem, such as using the Avelon apps on tablets and smartphones.

Configure the date and time format

The option selected under Language and Region determines how dates, times, and numbers are formatted in the user interface. This also applies to the display of live values of data points on schematics or in charts.

This card is only available on Avelon Cloud. You can subscribe to the following mailing lists:

Maintenance Notifications

You will receive an email notification in advance of a update of Avelon Cloud. During these updates, Avelon Cloud will not be available or only to a limited extent.

Avelon Insight (News and Release Notes)

You will receive an occasional email with additional information about Avelon, new products and features.

To subscribe or unsubscribe, just select the appropriate checkbox and click on Save at the top right.

User groups

This card shows the user groups to which the user belongs. You can add or remove user groups here to add or remove the user to or from the respective groups.

Login

On Avelon Cloud, the username corresponds to the email address of the user. You can change it at any time by clicking on Change Email Address and entering a new email address. You will receive a verification email at the new email address, and you need to click on the verification link in that email to confirm the change. If you fail to verify your new email address, you will no longer receive emails from the system.

On Alcedo Inhouse with SSO configured, the username and email address are separate fields, which are determined by the SSO provider and cannot be changed here.

Two-factor authentication

You can enable two-factor authentication on your user account to make your account more secure. Once two-factor authentication is set up, you will be asked to enter a one-time password from an authenticator app on your mobile phone every time you log in.

Enable two-factor authentication

Under LoginTwo-Factor Authentication, click on Enable. If you confirm the next dialog by pressing Set up Now, you will be logged out. Log in again to start the configuration process and follow the instructions on screen.

Install one of the recommended authenticator apps on your mobile phone, open it and add your user account by scanning the QR code with the app. Enter the one-time password displayed on the app to continue.

In the next step, make sure you download the backup codes and store them in a safe place. You’ll need them when you lose access to your phone or the authenticator app, otherwise you won’t be able to log into your account.

Warning

Please note that Avelon Reporting will not work with two-factor authentication at the moment.

Disable Two-Factor Authentication

Once two-factor authentication is enabled, you can disable it at any time on your user account.

Warning

If two-factor authentication is imposed by the administrator, you will not be able to disable it.

Generate new backup codes

You can also generate new backup codes if you need them. Please note that the old backup codes will be invalidated when you create new ones.

Set up other device

If you need to link another device with your user account, you can click on Set up Other Device. This will repeat the setup process for a new device. Please note that the old backup codes will be invalidated in the process.

Note

Administrators can reset the two-factor authentication of other users in case they lose access to their old device or authenticator app. During the next login, the user will be prompted to set up a new two-factor authentication.

Phone numbers

On this card, you can enter your phone numbers. The mobile number is used to send alarms and system notifications and to receive login codes if two-factor authentication is enabled.

Alarm notifications can be enabled in the alarm chains, where you have the option to receive alarm notifications by text message or by phone call. Note that costs incur for every text message or phone call sent by the system.

The landline number is optional and is not actively used by the system.

Theme

Here you can select the theme that should be applied to the user interface for that user.

System Default

The user interface will use the settings of the operating system or browser.

Light

The user interface will always be displayed in light mode, regardless of the operating system or browser settings.

Dark

The user interface will always be displayed in dark mode, regardless of the operating system or browser settings.

The setting will affect the whole application. However, there are two exceptions where this setting is ignored:

Reports

Widgets that are embedded in reports will always be displayed in light mode.

Slide shows

If a slide show is opened via its public URL, it will automatically adapt to the browser settings.

Time zone

The time zone in which the user is located. This setting is used to correctly determine the attendance times of the user in alarm chains.

Active sessions

On this card, you can see all active sessions of the user.

While regular browser sessions will usually be terminated automatically after a certain period of inactivity or after logging out, sessions on our mobile apps will remain active for several weeks, unless they are terminated manually. You can terminate a session manually at any time by clicking on the Terminate Session icon next to the respective session.

The Avelon Meters app requires a separate license for each concurrent session. Logging in to the app is only possible if at least one “Avelon Meters” license is not currently in use. If you need to share the same license between multiple users or devices, it might be necessary to terminate old sessions manually to free up unused licenses.

Alerting

In the Alerting section, you can set whether fault reports should be reported visually and acoustically in the Avelon control system and which alarm sound should be played when doing so.

The selected alarm sound is also used in the mobile alarm app Avelon Heads-up!.

Warning

For technical reasons, this alarm sound can only be played on either Android or iOS devices for each user account, but not on both device types in parallel. So if you switch between Android and iOS devices, the alarm sound may not play properly until you update the settings on the mobile app or log in to the app again.
